For Clients using our dedicated server hosting and infrastructure maintenance services, InteliaSolve LLC stores and processes the operational data, business records, customer information, and any other data that flows through the automated systems and workflows deployed on our infrastructure. This data is necessary for the systems to function and is handled in accordance with this Privacy Policy and the confidentiality provisions of the applicable Service Agreement.

3. How We Use Your Information

We use the information we collect to:

  • Respond to inquiries and provide requested services;
  • Deliver, customize, and improve our AI audit, automation development, and infrastructure maintenance services;
  • Operate and maintain the dedicated servers and systems hosting the Client's deployed workflows;
  • Configure, monitor, and optimize AI models and automation systems on the Client's behalf;
  • Communicate service updates, proposals, and relevant industry insights;
  • Comply with legal and regulatory obligations;
  • Analyze website usage to improve user experience;
  • Retarget website visitors through digital advertising platforms (see Section 7).

4. AI Processing and Third-Party AI Providers

As part of our automation and AI Audit services, data may be processed by third-party artificial intelligence providers (such as large language model and AI infrastructure providers) in order to operate the automation workflows, AI agents, and analytical tools developed for the Client. InteliaSolve LLC selects, configures, and regulates these AI providers and their usage parameters as part of the contracted maintenance service.

We take reasonable steps to work with AI providers that maintain industry-standard data protection commitments and to limit the data shared with such providers to what is necessary for the relevant workflow to function. Data submitted to AI providers may be processed on servers located outside of the Client's country of residence, including in the United States.

The Client acknowledges that the use of artificial intelligence tools and models outside the configurations agreed upon and documented by InteliaSolve LLC is governed by the Limitation of Liability for Unauthorized AI Use provisions set forth in the applicable Terms & Conditions and Service Agreement.

5. Legal Basis for Processing (GDPR / U.S. Privacy Laws)

We process personal data on the following legal bases:

  • Consent: where you have provided explicit consent (e.g., form submissions, cookie acceptance);
  • Contractual necessity: where processing is required to fulfill a service agreement, including infrastructure hosting and maintenance;
  • Legitimate interests: for analytics, security, and service improvement purposes;
  • Legal obligation: where required by applicable law.

6. Data Sharing and Disclosure

InteliaSolve LLC does not sell, rent, or trade your personal information to third parties. We may share information with:

  • Service providers and subcontractors who assist in delivering our services, including hosting providers and AI infrastructure providers (subject to confidentiality agreements);
  • Analytics and advertising platforms (Google Analytics, Meta Pixel), only aggregated or pseudonymous data;

7. Cookies and Tracking Technologies

Client engagement data, including data processed through hosted infrastructure, is retained for the duration of the active Service Agreement and for a minimum of 5 years following its conclusion, unless earlier deletion is requested and legally permissible. Website visitor data is retained for no more than 24 months.

Upon termination of a maintenance agreement and the corresponding suspension of hosted infrastructure access described in our Terms & Conditions, Client data stored on our servers will be made available to the Client for export for a reasonable transition period before deletion, unless otherwise agreed in writing.

9. Data Security and Infrastructure

We implement industry-standard technical and organizational security measures to protect your information from unauthorized access, disclosure, alteration, or destruction. This includes access controls on our dedicated server infrastructure, encrypted storage and transmission where applicable, and restricted internal access to Client environments and credentials.

Access credentials to Client environments and platforms are retained internally by InteliaSolve LLC for the duration of an active maintenance agreement, solely for the purpose of operating and maintaining the Client's systems, and are handled under the confidentiality provisions of the applicable Service Agreement. No method of transmission over the Internet or electronic storage is 100% secure, and we cannot guarantee absolute security.

10. Your Rights

Depending on your jurisdiction, you may have the right to:

  • Access the personal data we hold about you;
  • Request correction of inaccurate data;
  • Request deletion of your data ("right to be forgotten"), subject to our contractual and legal retention obligations;
  • Object to or restrict certain types of processing;
  • Request data portability, including export of data processed through hosted infrastructure;
  • Withdraw consent at any time (without affecting prior lawful processing).
